Managing a chapter house is a time consuming and exhausting task. GRS Properties, LLC., the property management division of Greek Resource Services, LLC, has developed a successful strategy to operate and maintain fraternity and sorority properties. Below are a few of the service options that we offer to our clients. We can provide you with total service or build a custom package of services to meet the needs of your organization.
Residents
- Prepare, Distribute, and Collect Annual Lease Agreements
- Set Room Rent
- Provide Lease Agreements by December of each year
- Work in conjunction with House Manager and/or House Corporation Member with Room Assignment Policies
- Collect, Hold, Maintain, and Return Room Damage Deposits
- Bill and Collect Room Rent
- Manage Room Key distribution and return(s)
- Accept Maintenance Requests from Residents and/or House Managers, House Mothers, or House Corporation Member(s)
- Manage Chapter House Security Codes and/or Access where applicable
- Manage Code distribution and parking passes/access where applicable
- Walk Through/Check-Out and Check-In appointments with Residents at beginning and end of Lease Term
- Bill Resident for any damage(s) incurred
Maintenance
- Develop Maintenance Schedule for Chapter House
- Annual
- Semi-Annual
- Quarterly
- Monthly
- Weekly
- Daily
- Arrange for Maintenance to be completed from reputable/approved Vendors, Contractors, and Providers when necessary
- Periodic (Daily/Weekly) Walk-Through Inspections of Property and Grounds, such as after Game Weekends, Social Events, etc
Opening/Closing of Chapter House
- Coordinate Closing Schedule of Facility
- Monitor Property/House during Holidays (School and National), Weekends, and Summer Vacation(s)
- Ensure that appropriate systems are set for Vacation periods
- Ensure that Chapter House, Organization, and Residents Property is secure
Move Out/Check-Out
- Coordinate with House Manager, House Mother, and/or House Corporation Member to schedule Move-Out
- Arrange for Room Clean-Out/Clean-Up, Evaluation of Room Condition, and Necessary Repairs
Security/Safety
- Work with, Maintain, and Review Security Systems/Cameras when necessary (where applicable)
- Emergency Contact available 24/7
- Collaborate with UA Health and Safety Officials for required Inspections/Walk-Thru of Property
- Arrange for Additional Security Personnel when Necessary (Football Game Weekends, Social Events, Reunions, etc.)
Evaluation
- Annual/Semi-Annual Evaluation(s) of Building, Systems, Equipment, Furnishings, Landscaping, etc.
- Provide Long-Term schedule for Replacement/Repairs
Inventory
- Annual Inventory of Furniture, Fixtures, Equipment, Tools, etc.
- Replacement of Lost, Damaged, or Stolen Items/Property
Special Project Management
- Repairs
- Major/Minor Renovations
- Improvements
- Additions
- Landscaping and Lawn Care
